How do I safely share content from a SharePoint site?

You should always be careful that you are sharing the minimum necessary information from SharePoint.

Site Owners should NEVER share from the top right-hand corner; this will share the entire site and its contents.

 

When sharing a folder, the recipient will be able to see that folder and anything within the folder, so it is important to make sure you are sharing at the right level.

In this example we want to share Folder 01 and ensure the recipient will only she that folder and its contents.

  1. Start by clicking into the folder so you can see the full path at the top.
  2. Now you can click Share on the bar above the path. Depending on the site, your options for sharing are:
    1. Anyone with the link - disabled unless this is a site that is accessible by people outside your organisation.
    2. People in your Organisation - may not be available depending on the content of the site. This will give access to anyone in your organisation who has the link
    3. People with existing access - doesn't change access, but is useful if you want to send the location of a folder or document to a colleague.
    4. Specific People - may not be available depending on the site. This can be used to add access for specific people including external users.
  3. To share with external recipients, click on “Specific People”. If you want the recipient to be able to edit then select “Allow Editing” and click Apply.Fill in the recipients email address and click send. 

If you have a sharing scenario that isn't supported with the available options, for example, you want to share a site to a colleague who doesn't have access already but don't have the option to share with specific people then email servicedesk@stellarise.com with your request.
